Participant Management

Participants are first-class citizens in ProNova52. Every cohort member has a FHIR-compliant identity, a tracked consent history, and a transparent audit trail of every invite, reminder, and response — accessible to your team, and only your team, through strict organisation-level isolation.

Three ways to onboard a cohort

Add participants one-by-one through the UI, bulk-import an entire cohort from CSV with field mapping and validation, or hand out a public self-signup link for community-recruited studies. Whichever route you choose, the resulting participant record is identical and centrally managed.

FHIR-compliant identifiers

Each participant can hold multiple identifiers — NHS Number, MRN, study ID, assigner organisation — all stored in a structured, FHIR-aligned format. This makes cross-system linkage straightforward without compromising on safety.

Soft delete and right-to-be-forgotten

Withdrawn or deceased participants are soft-deleted, preserving the integrity of historical responses while removing them from active recruitment. GDPR erasure workflows are supported through the admin tooling.

Capabilities

  • Manual, CSV bulk import, and self-signup intake
  • FHIR-compliant identifier model (NHS Number, MRN, assigner)
  • E.164 mobile validation and structured address fields
  • Consent timestamps with full audit history
  • Per-participant response tracking and invite history
  • Soft delete with GDPR-safe archival
  • Researcher-role PII masking for blinded analysis

Typical use cases

  • Migrating an existing trial cohort from a legacy CRF
  • Open-recruitment community studies with self-signup
  • Multi-site studies with assigner-level identifier tracking
